Privacy Policy

How we collect, use, and protect information submitted through voxel-ai-lab.com.

01Overview

This Privacy Policy explains how Voxel AI Lab LLC ("Voxel AI Lab," "we," "us," or "our") collects, uses, discloses, and protects information in connection with voxel-ai-lab.com (the "Site"). It applies to visitors to the Site and to anyone who submits information through it. It does not apply to information we collect through a separately signed client agreement, which is governed by that agreement.

By using the Site, you agree to the collection and use of information as described in this policy.

02Information we collect

Information you provide directly. When you submit our contact form, we collect the information you enter: your full name, work email address, company name, the primary capability/pillar you're interested in, and any project details you write. We do not currently collect payment information, financial account details, or government ID numbers through the Site.

Chat assistant. If you use the chat widget, the messages you type are sent to our AI model provider solely to generate a reply, and -- only if you tap "Send project brief to team" -- to produce a short summary that pre-fills the contact form. Conversation history lives only in your browser for the duration of your visit; we do not log or store chat transcripts on our own servers, and the assistant does not ask for or need sensitive personal information to do its job.

Newsletter (coming soon). We plan to offer an email newsletter with build notes and release updates. When that launches, we will only collect the email address you choose to provide, we will use it solely to send the newsletter and related updates, and every email will include a one-click way to unsubscribe. We will not add you to the newsletter without your affirmative opt-in.

Information collected automatically. Like most websites, our hosting and infrastructure providers automatically log standard technical information when you visit the Site -- for example, IP address, browser type, device type, referring page, and timestamps -- for security, abuse prevention, and basic aggregate traffic understanding. The Site does not currently use third-party advertising trackers, and we do not currently run analytics software. If that changes, we will update this policy and, where required by law, request your consent first.

Cookies. The Site currently sets only cookies that are strictly necessary for the Site to function (if any). We do not use advertising or cross-site tracking cookies. See the "Cookies" section below for more detail.

03How we use information

We use the information described above to:

  • Respond to inquiries submitted through the contact form and follow up about a potential engagement.
  • Generate replies in the chat assistant, and summarize a chat into a project brief only when you ask us to.
  • Operate, maintain, secure, and improve the Site.
  • Send newsletter or update emails, once launched, only to people who opted in, and only until they unsubscribe.
  • Detect, investigate, and prevent fraud, abuse, security incidents, and violations of our Terms of Service.
  • Comply with legal obligations and enforce our agreements.

We do not use the information you submit to make automated decisions that produce legal or similarly significant effects about you, and we do not sell your personal information.

05Cookies and similar technologies

Cookies are small text files stored on your device. We currently limit our use of cookies to those strictly necessary for the Site to function properly (for example, remembering basic display preferences). We do not currently use cookies for advertising, cross-site tracking, or behavioral profiling.

If we later add analytics or marketing cookies, we will update this Privacy Policy and, where required by applicable law, present a consent banner or similar mechanism before those cookies are set. Most browsers let you block or delete cookies through their settings; doing so may affect how parts of the Site function.

06Data retention

We retain contact-form submissions for as long as reasonably necessary to respond to your inquiry, maintain business records, and comply with legal, accounting, or reporting obligations, after which we delete or anonymize it. If you subscribe to the newsletter once it launches, we retain your email address until you unsubscribe or request deletion. You can request earlier deletion at any time using the contact details below.

07Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect the information we collect from unauthorized access, disclosure, alteration, or destruction. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

08Your rights and choices

Depending on where you live, you may have rights regarding your personal information, which may include the right to: access the personal information we hold about you; correct inaccurate information; request deletion of your information; opt out of certain uses or disclosures; and receive a copy of your information in a portable format.

California residents have rights under the California Consumer Privacy Act, as amended (CCPA/CPRA), including the right to know, delete, correct, and limit certain uses of personal information, and the right not to receive discriminatory treatment for exercising these rights. Texas residents have similar rights under the Texas Data Privacy and Security Act (TDPSA). We do not sell personal information and do not engage in targeted advertising, so there is no sale or targeted-advertising opt-out to exercise.

09International visitors

Voxel AI Lab LLC is based in the United States, and information you submit through the Site is processed and stored in the United States (or in the U.S. regions of our service providers' infrastructure). If you access the Site from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States, which may have data protection laws that differ from those of your jurisdiction. Where required by applicable law (such as the GDPR for visitors in the European Economic Area, UK, or Switzerland), we rely on appropriate safeguards for such transfers and honor applicable data subject rights on request.

10Children's privacy

The Site is intended for business and professional audiences and is not directed to children. We do not knowingly collect personal information from children under 13 (or the relevant age of digital consent in your jurisdiction). If you believe a child has provided us with personal information, please contact us and we will promptly delete it.

12Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. If we make material changes, we will update the "Effective" date at the top of this page and, where required by law, provide additional notice. We encourage you to review this page periodically.
